Accessing Calls in Teams
Everything related to making and receiving calls in Teams can be found under the Calls tab on the left hand menu
Making a Call
Teams allows to you make video and audio calls to between Teams users, usually inside your organisation.
If you have the Teams Calling add-on, this allows you to make calls to regular telephones, mobiles and people outside of your organisation. If you have this, you will see Dial a number at the bottom of the screen.
- Clicking on Dial a number will open dial pad
- Your own telephone number will be displayed at the top for reference
- Enter the number you want to dial
- Click Call
Making a Call to a Speed Dial, Contact or Colleague
You can easily make calls using a speed dial or a contact. You can find these here:
In either case, you can call them by clicking on the telephone symbol.
You can also call any internal team member from within most areas of MS Teams, like chats, by clicking on the video or audio call buttons.
Answering a Call
If you receive a call, you will see pop up, which will either:
- display the name of the internal person calling you
- display the name of the external person calling you, if you have their number stored
- display the telephone number of the external person calling you
You may also see the name of the Teams group that the person has called, if you are answering a call for a group.
You can accept the call by clicking on the blue button, or reject the call by pressing on the red button.
Hold, Transfer and Other In Call Features
When you have made or answered a call, your call will appear in a new Teams window. This will show you the people in the call, the call duration, and other useful information.
Most in call options will be available from this window, by clicking on the three dots at the top of the window.
- Hold - Allows you to place the current call on hold, clicking again will pick up the call again
- Transfer - Allows you to blind transfer the call to another person or number
- Consult then transfer - Allows you to place the current call on hold, speak to the person that you want to transfer to, then transfer the call
- Turn on live captions - Will attempt to caption the call for you in real time (does not work in all scenarios)
You can click on the Dial pad button to open a key pad if you need to send keypresses on your call, for example a menu
You can click on Show participants to show a list of the people in the call and add new people to the call
You can click on the microphone to Mute your audio
Clicking on Leave with end your call, although the call may continue without you if there are other people in the call
Call History
You can access your complete Call History here:
Here you will see a list of the calls that you have made, received and missed.
Clicking on the three dots next to a call record, will provide options to call someone back, add them to your contacts, etc.
Picking up Voicemail
If you have voicemail enabled, you will be able to see your voicemail messages here (these will also be emailed to you):
Under Voicemail you will see and be able to playback any message that have been left for you.
