Swyx Voicemail works on a system of voicemail to email, so all voicemail messages left will be recorded as WAV files and sent as attachments to the email address that you have specified.  In order to receive voicemails you must configure your standard voicemail for use.


This will normally be done for you when your user account is created, but it will be a basic set up, and you would be advised to customise it to your own liking.


Which calls are delivered to your voicemail will depend on your Call Routing, but by default calls you do not answer will reach voicemail after 60 seconds.  We would strongly advise you to reduce that time to 15 seconds, as callers rarely wait for 60 seconds to leave a message.  For information on how to alter your Call Routing, please see the article below:

Standard Voicemail Options


You are able to specific the following options:


 - the welcome message that a caller hears

 - the possibility of leaving a message at all

 - the length of the recorded messages

 - the email address to which the voicemail is sent

 - the use of Remote Inquiry



Accessing Standard Voicemail Settings


- Right-click on Forwarding and choose Properties 



- Or, click on the Settings menu, and choosing Configure Call Forwardings



- Select the Standard Voicemail tab





Configuring Standard Voicemail


- By default the Welcome announcement will be active with a generic message that prompts the caller to leave a message

NOTE: You can untick the announcement, but this will NOT turn off voicemail, the caller will hear a beep and be expected to record a voicemail with no prompt



- The selection box allows to choose from a list of the messages that are available to you, or that you have previously recorded



- The Record Voicemail option, allows you to specific whether a caller can record a voicemail or not.  If you untick this, your selected annoucement will be played, with no option for the caller to leave a message

- You can alter the maximum length of the message that can be left, but generally 180 seconds should be sufficient

- You can specify the email address to which you want your voicemails to be sent.  This can be your email address, or another email address, including a distribution email address

Changing Your Welcome Announcement


- You can change your welcome announcement quickly and easily using the controls on the Standard Voicemail tab.

NOTE:  This assumes you are using a softphone with a USB audio device.  If you are using an physical IP handset, you will need to make changes through Voicemail Remote Inquiry, which is not covered here


- If you have a recording that you would like to upload and use, you can do so by clicking on the ... to the left of the play controls


- This will open a file chooser and let you select an audio file



- You can also record a new Welcome announcement directly in SwyxIt!, by clicking the record button, at which point you will be prompted to give it name



- Once you click OK, you will be prompted to pick up your USB device and click Start to record the announcement



- Once you have finished, click the Stop button


- Your new announcement will now be available to select from the drop down list




- You can record as many announcements as you like for future use

- You can over-record an announcement that you don't like, but using the same name

- You can delete old announcements by selecting the announcement and then clicking on the cross
